Fleet Coordinator

Job Description

Principal Accountabilities: (essential job functions):

  • Reviews inspection records on ALL company vehicles daily.
  • Assess if action is required to meet the issues identified on the inspection sheets. This may require physical inspection or 3rd party expert review such as mechanics.
  • Be familiar and become subject expert of all tools required to manage fleet operations in the HIPPO software program.
  • Manage all inspections, maintenance and responses of inspections through the HIPPO program.
  • Conducts vehicle accident investigations and submits reports upon completion of investigations to HR and the Director of SFFS including investigating and studying the nature and cause of accidents and making recommendations for corrective action.
  • Coordinates with Director of SFFS and President and CEO in developing, maintaining and modifying safety-related policies and procedures as they pertain to vehicle transportation.
  • Support Director’s efforts in maintains Safety Handbook and distributes to LifeROOTS employees.
  • Ensures through monthly inspections that fire extinguishers at all LifeROOTS sites are charged.
  • Ensures through quarterly inspections or notifications that all identified and needed repairs are corrected within a reasonable time frame.
  • Ensures regularly scheduled maintenance requirements are met on equipment and vehicles.
  • Ensures that LifeROOTS fleet vehicles receive regularly scheduled maintenance/repairs as required.
  • Receives and manages all information gathered weekly from Vehicle Maintenance/Safety Checklist.
  • Ensures all fleet vehicles are insured, registered and in compliance with state requirements.
  • Provides orientation to all new LifeROOTS, Inc. Staff and Service Contract Employees on vehicle operations, inspection, safety and defensive driving.
  • Develops a written preventive maintenance plan and ensures that all LifeROOTS vehicle users are trained and in compliance with state regulations.
  • Complies with applicable LifeROOTS policies and procedures.
  • Maintains confidentiality and exercises personnel authority with respect to employment, training, driving records, insurance eligibility and termination of assigned staff members.
  • Responsible for participation in the quality assurance program and ensures that all department-applicable quality improvement requirements are fulfilled.
  • Responsible for participation in the company’s financial management and ensures that all department - applicable fiscal responsibilities are fulfilled, including ensuring compliance with budgetary constraints and forecasting and planning facility improvements.
  • Responsible for participation in the company’s Health and Safety program and ensure that all department- applicable safety requirements are fulfilled.
  • Perform other related duties as assigned by the Director of SFFS and/or CEO/President.

Education, Essential Skills and Experience:

1. High School Diploma or GED

2. Must have current knowledge of applicable state vehicle operation’s laws.

3. Must be able to demonstrate strong organizational, planning, and writing skills and experience.

4. Computer literate in Windows environment.

5. Become proficient in working with the HIPPO software program and how it relates to Fleet Management.

6. Fundamental understanding of LIFEROOTS, Inc. policies.

Conditions of Employment:

1. Background check required.

2. Must have a valid and current driver's license with good driving record and must have current auto insurance as required by applicable state law.

3. Routinely operates a company vehicle or a personal vehicle while on company business.

4. Must be at least 18 years of age.

Physical Challenges:

1. Regular and consistent use of keyboard and mouse.

2. Position requires some walking, standing, bending.

3. Position requires the ability to move and drive company vehicles to designations.
